Create System Email Accounts for Ticketboxes

Having created a new ticketbox, we now need to add a system email account and associate it with this ticketbox. This email account will be used to send and receive emails to and from this ticketbox.

In the Administration screen, expand the [E-mails & SMS Accounts] node, right-click anywhere on the right pane and select [New...]

Settings for Email Account

  1. Enter the email address for this ticketbox in the first field.

  2. Enter display name for the ticketbox in the [Display name;] field.

  3. Tick the [Schedule this account to check new emails automatically] option, and set [Check every:] field to 1 min.

  4. Key in mail server IP address or FQDN in the [Server name(address):] field under incoming server, leave port 110 unchanged.

  5. Key in the username and password for the email account. Please note: the email account must be created on your email server, in order to use the account in FocalScope.

  6. Now fill in the server IP address or FQDN for the outgoing server, usually this is the same as the incoming server.

  7. In the [Log on to outgoing server as:] dropdown field, select [Same as the incoming server].

Link e-mail to ticketbox

Under the [Ticketboxes] tab...

  1. Click the [Add button] to select a ticketbox from the existing ticketboxes. If you do not have an existing ticketbox to link this account to, view the lesson Creating Ticketboxes to learn how to create one.

  2. A web dialog with a list of existing ticketboxes will pop up. Click on one of the folders, then click [Ok]. Multiple ticketboxes may be added and linked to this email address, repeat point 1 to add another ticketbox to this email account.

Once you have added your desired ticketbox to the email account, click [Ok] to finish the association.

To know if you have done this process correctly, go to the user Workspace screen by clicking on the [Screen] tab and selecting [Workspace]. Now click on the ticketbox which you have just associated with an email account.

Right click anywhere on the right pane, then select [New...] to create a new message. The new message editor will appear. The [from;] field should show the email account to which this ticketbox is linked.
